These Terms & Conditions ("Terms") apply to your use of https://theexpeditionhouse.com and to every booking made with The Expedition House ("we", "us"). Please read them carefully. By making an enquiry or booking, or by using the website, you confirm that you have read, understood and accepted them, together with our Privacy Policy, Cancellation & Refund Policy and Travel Disclaimer.
1. About our services
We design and organise road expeditions and tours in the Himalayas. We arrange transport, accommodation, meals, permits and crew as described in each itinerary. Some services, such as hotels, camps and vehicles, are provided by independent local partners; we select them with care but they remain responsible for their own services.
2. Enquiries and bookings
- Sending an enquiry through the website, phone or WhatsApp is not a booking.
- A booking is confirmed only when we confirm it in writing (email or WhatsApp) and have received the advance payment stated in your quote.
- The balance must be paid by the due date mentioned in your confirmation, usually before departure. We may cancel the booking if payment is not received on time.
- The person making the booking is responsible for providing correct names, ID details and contact information for all travellers.
3. Prices and payments
- All prices are in Indian Rupees (INR) and are per person unless stated otherwise. Taxes are included or added as applicable.
- Prices shown as a cut-off (struck-through) amount next to a lower price are promotional offers and may change or end without notice before your booking is confirmed.
- Once a booking is confirmed, the agreed price will not increase, except where government taxes, permit fees or fuel prices change or you request additional services.
- Inclusions and exclusions are listed on each expedition page and in your quote. Anything not listed as included, such as lunches, personal expenses, travel insurance, optional activities and tips, is paid by you.
- Payment can be made by bank transfer, UPI or any other method we confirm to you. Payment gateway or bank charges, if any, are non-refundable.
4. Itinerary, weather and road conditions
Mountain roads can close without warning because of snow, landslides, floods, road work, security restrictions or other events outside our control. For your safety and the safety of the crew, we may change, reorder, shorten or reroute the itinerary, change a stay or vehicle, or delay or cancel a departure. We will always try to offer a fair alternative. Extra costs caused by such events, for example an extra night's stay, are paid by the traveller; unused services are not refundable unless we say otherwise in writing.
5. Traveller responsibilities
- Carry valid government photo ID. Foreign nationals must hold a valid passport and visa and any required permits.
- Be in reasonable health and fitness for high-altitude travel and tell us in advance about any medical condition, injury, pregnancy or allergy.
- Follow the guidance of your trip leader and driver at all times, including on acclimatisation, driving, camping and environmental rules.
- Carry any prescribed medicines you need and arrange appropriate travel and medical insurance, which we strongly recommend.
- Respect local people, culture, religious places and the environment. Do not litter, damage property or disturb wildlife.
- Illegal drugs are strictly prohibited. Alcohol must be consumed responsibly and never while driving or at altitude on the road.
6. Health, altitude and risk
Expeditions at high altitude and in remote areas involve real risks, including altitude sickness, extreme weather, vehicle accidents, limited medical facilities and mobile network gaps. By booking, you confirm you understand and voluntarily accept these risks. We follow safety practices such as acclimatisation days, a first-aid kit and oxygen, but we cannot remove all risk. 7. Accommodation, transport and group size
- Stays are on a twin-sharing basis unless you book a single room. Quality in remote areas can be basic; we will always choose the best available option.
- We may substitute a hotel, camp or vehicle with one of an equal or better standard where needed.
- Baggage is limited to what the vehicle can safely carry. Heavy items may need to be left behind at your own risk.
- Group departures need a minimum number of travellers. If the minimum is not met we may move you to another date, offer a private option or refund you in full.
8. Our right to refuse or remove a traveller
We may refuse to take, or ask to leave, any traveller whose health, behaviour or conduct is a risk to themselves, other travellers, the crew or local people. In such cases no refund is due for unused services.
9. Cancellations and refunds
Cancellations and refunds are governed by our Cancellation & Refund Policy, which forms part of these Terms.
10. Our liability
- We will take reasonable care in arranging your trip. We are not liable for loss, damage, injury, illness, delay or extra cost caused by events outside our reasonable control (force majeure), by the acts or failures of independent suppliers, or by a traveller's own actions or failure to follow instructions.
- We are not responsible for loss or damage to baggage, money, documents or valuables. Please keep them with you.
- To the maximum extent permitted by law, our total liability for any claim relating to a booking is limited to the amount you paid us for that booking.
- Nothing in these Terms excludes liability that cannot be excluded under applicable law.
11. Photos and videos
We may take photos and videos during trips and use them on our website, social media and marketing. If you do not want to appear in them, tell your trip leader or write to us before the trip.
12. Website use and intellectual property
All text, design, logos and original content on this website belong to The Expedition House or its licensors. Some photographs are used under free licences and credited on the Photo Credits page. You may not copy, scrape or reuse our content commercially without written permission, or misuse the website, attempt to break its security or submit false or harmful enquiries.
13. Complaints
If something goes wrong during your trip, please tell your trip leader straight away so we can fix it on the spot. For other concerns, write to info@theexpeditionhouse.in within 15 days of the end of the trip and we will respond within a reasonable time.
14. Governing law and jurisdiction
These Terms are governed by the laws of India. Subject to any rights you have by law, the courts at Himachal Pradesh, India have exclusive jurisdiction over any dispute arising from them.
15. Changes to these Terms
We may update these Terms from time to time. The version published on this page on the date of your booking applies to that booking.
